Assistant Sales & Marketing Manager
The Assistant Sales and Marketing Manager is responsible for effectively marketing the community and ensuring the leasing targets are achieved during the construction phase of the property. The Assistant Sales and Marketing Manager acts as a quality supervisor on the leasing floor, providing direct oversight and assistance to the Leasing Ambassadors as they interact and assist our clients. Assistant Sales and Marketing Managers should have a high level of energy and always demonstrate a high level of professionalism.

Roles and Responsibilities
The duties listed below are an outline of the Assistant Sales and Marketing Manager’s responsibilities and should not be considered an all-inclusive list. As the needs of the community change, these duties may be modified as needed.
Leasing & Marketing
- Oversee marketing and leasing efforts to maximize the occupancy of the community
- Prepare marketing plans and develop new strategies and programs designed to meet occupancy goals
- Train leasing staff on how to market on campus and locations that students frequent
- Prepare daily and weekly leasing reports and pricing recommendations
- Represent the community and Landmark Properties in a professional manner
- Ensure leasing staff complies with corporate procedures and government laws on Fair Housing
- Ensure email and voicemail is checked several times daily
- Respond to internet and telephone inquiries in a timely and professional manner
- Be familiar with and train the leasing staff on how to review and explain the lease document and all related addendums
- Ensure follow up activities take place for all prospective residents
- Manage and review all leases
- Monitor guarantor approval process
- Ensure all data is accurately entered in OneSite
- Complete monthly lease audit and correct any discrepancies in a timely manner
- Project a favorable image of the community to achieve property objectives and public recognition
- Assist with the development of resident retention programs
- Generate and track traffic of prospective residents by utilizing effective marketing techniques
- Conduct all tasks necessary to close the sale, including making appointments, generating new leads, conducting tours, maintaining the leasing center and traffic follow up
- Complete and submit required materials in a timely manner such as market surveys, marketing calendars, guest cards, and service requests
- Ensure an adequate stock of professionally printed collateral and promotional items are on hand at all times
- Monitor and update all social media channels to promote the property
General Administration
- Report on time to your shift
- Ensure confidentiality of client, resident, and company information
- Attend and contribute to all staff meetings and any special or emergency meetings
- Understand and adhere to the Landmark Properties policies and procedures
- Maintain a clean and professional work environment
- Report time and attendance
- Manage roommate matching, lease assignments, and move-ins
- Understand the lease document and all related addendums and be able to clearly communicate to residents, prospective residents, and parents all relative information
- Participate in all move-in related activities
- Manage time efficiently and effectively
- Prepare leasing staff office coverage schedule
- Assist in corporate projects as requested
- Ensure that all completed leases are scanned to the system for audit purposes
Financial Management
- Maximizes revenue and occupancy
- Assists in collecting fees, rents, security deposits, and other income as requested
- Operates marketing activities within the confines of the marketing budget, deviating only with prior approval
- Provide documentation/receipts for all company purchases
Personnel
- Assist in development and supervision of staff
- Delegate lease scanning, data input, and other tasks to Leasing Ambassadors
Customer Service
- Understand the needs and expectations of residents, prospective residents, clients, and vendors and exceed their expectations
- Develop a sense of community among the residents and staff
- Maintain active and effective communication with applicants, future residents, parents, and university personnel
- Create the monthly newsletter and other communications with prospective residents
- Maintain a positive community environment for both prospective residents and associates and encourage participation in events and activities
- Walk each apartment prior to move in to ensure that the units are clean and ready for move in
- Assist in keeping the community clean by surveying common areas regularly and reporting any concerns and / or helping to clean up when necessary
Risk Control
- Understand, communicate, and enforce community safety, emergency, and fire evacuation policies and procedures, providing emergency response and referral services and resources
- Document and address behaviors of residents that violate the law or the community lease agreement
- Identify and report safety and security risks to the Sales and Marketing Manager
- In the absence of the Sales and Marketing Manager, prepare and submit incident reports
- Assist the Sales and Marketing Manager in handling emergency situations in conjunction with the corporate team
Requirements
- Bachelor degree strongly preferred, high school diploma required
- 2 years leasing experience in the student housing industry preferred
- Superior customer service and communication skills
- Must display strong leadership skills and the ability to solve day to day problems
- Must maintain an above-average closing ratio and resident retention average
- Strong internet, word processing, and spreadsheet skills
- OneSite experience preferred
